    Connect HubSpot and move your data

    Choose between a one-time import and two-way sync, and set either one up.

    There are two ways to bring HubSpot and Ahoy together. A one-time import copies your records across. Two-way sync keeps both systems matched from then on. Pick the one that fits how long you'll keep using HubSpot.

    Both options are turned on per workspace. If you don't see HubSpot in your settings, contact the Ahoy team.

    Before you begin

    • Permissions. HubSpot can only be connected by an account admin.
    • HubSpot access. You need a HubSpot login that can approve the connection.

    Run a one-time import

    1. Go to Settings → CRM → Import & Export.
    2. Click Import from HubSpot and connect your HubSpot account.
    3. Choose which record types to bring over.
    4. Review every field mapping, then run the import.
      This doesn't set up ongoing sync.

    Set up two-way sync

    1. Go to Settings → Integrations → HubSpot and click Connect HubSpot.
    2. Approve the connection in HubSpot.
    3. Back in Ahoy, under Finish setting up HubSpot, review your field mappings.
    4. Review your pipeline and stage mappings. Map every HubSpot deal stage to an Ahoy stage – you can't complete setup until you have.
    5. Check the connection settings, described below.
    6. Complete setup.
      Completing setup starts the sync. Records keep syncing until you disconnect.

    If you already have deals in Ahoy

    You'll be asked how to handle HubSpot deals.

    • Import HubSpot deals brings your HubSpot deals in as well. Check for duplicates afterwards if some of those deals are already in Ahoy.
    • Skip initial deal import keeps your existing deals as they are. Deals created or changed in HubSpot from then on still sync.

    Connection settings

    • Sync direction. Choose Two-way sync, HubSpot → Ahoy, or Ahoy → HubSpot.
    • Propagate deletions to HubSpot. When a record is deleted in Ahoy, archive it in HubSpot too.
    • Push existing Ahoy records to HubSpot. Backfills your current Ahoy contacts, companies, and deals into HubSpot during setup.

    Field mappings

    Each mapped field shows the HubSpot field, the Ahoy property, the direction, and what happens on a conflict. HubSpot fields with no match are listed under Unmapped HubSpot fields. Choose Don't sync for any field you want left out.

    Check sync health

    The HubSpot page shows how many records have synced. Sync health shows what's queued in each direction and any records we couldn't sync. We retry those automatically.

    Disconnect

    Choose Disconnect. Two-way sync stops right away and nothing is deleted. Records already synced stay in both Ahoy and HubSpot, and your field mappings are saved, so reconnecting is quick.
