Record meetings with the Ahoy Notetaker
Turn the Notetaker on, choose what it records, and get Meet and Teams transcripts.
The Ahoy Notetaker joins your calls as a participant, records them, and puts a summary and transcript on the meeting record. This article covers turning it on and choosing what it records. It also covers getting transcripts from Google Meet and Microsoft Teams without the Notetaker.
AVAILABILITY
If you don't see Record my meetings in your settings, the Notetaker isn't turned on for your workspace yet. Contact the Ahoy team.
Before you begin
- An account admin turns it on for the team first. After that, each person opts in for themselves.
- Consent is your responsibility. Other participants can see when the Ahoy bot joins, but they aren't separately notified or asked for consent. Some regions require more disclosure than that.
Turn it on for your team (account admins)
- Go to Settings → Meetings → Recording.
- Under Team setting, click Enable.
- Read the notice and click Accept & enable.
This makes the Notetaker available. It doesn't start recording anyone's meetings.
Record your own meetings
- Go to Settings → Meetings → Recording.
- Under Your recording, turn on Record my meetings.
- The first time, read the notice and click Accept & enable.
Turn it on at least a few minutes before a meeting starts, so the Notetaker has time to schedule itself.
Choose what gets recorded
These options appear once Record my meetings is on.
- Meetings to record. Choose All meetings or External only. External only leaves your internal meetings alone.
- Excluded emails and domains. Add an email address or a domain, and the Notetaker skips any meeting where it's present. You can add up to 100.
- Bot appearance. Set the bot's name and picture. Other participants see these when it joins.
Record or skip one meeting
Open an upcoming meeting and use the menu in its header. Choose Record this meeting or Don't record this meeting. This overrides your default for that meeting only.
Good to know
- Supported calls. The bot joins Zoom, Google Meet, and Microsoft Teams calls. Meetings on other platforms are skipped.
- One bot per meeting. When several teammates are in the same meeting, only one bot joins. The transcript and summary are shared with your whole team.
- Calls that aren't on your calendar. On the same page, turn on Capture notes without a calendar meeting. We'll save notes from those calls and create a meeting for them. It's off by default.
Transcripts from Google Meet and Microsoft Teams
You can get transcripts without the Notetaker. Both come through your connected email and calendar account, so there's nothing extra to connect. Each source's card under Summary sources lists what you'll need.

To transcribe every Google Meet automatically, turn on "Transcribe the meeting" in the Google Calendar event, under Video call options.
Check a source is working
Each card under Summary sources shows a status.
- Receiving summaries – everything's working.
- Waiting for first summary – connected, with nothing received yet.
- Summaries not arriving or No recent summaries – check the source's own setup.
- Reconnect needed – sign in to the source again.
