Teach Ahoy how you work and write
Check what Ahoy has learned about you, and add instructions of your own.
Ahoy learns how you work from your inbox and calendar, and uses that everywhere it helps you – drafting emails, preparing for meetings, and suggesting actions. You can read what it's learned, correct it, and add instructions of your own.
Where to find it
Go to Settings → AI → Agent Guidance.
Check what Ahoy has learned
Under What we've learned about you, you'll see how Ahoy currently sees you.
| Field | What it describes |
|---|---|
| Role | What you do |
| Focus | What you're working on |
| Work patterns | How you work |
Edit anything that doesn't match how you actually work. Your changes save when you click away from the field.
If this section says nothing's been learned yet, Ahoy is still analyzing your inbox. Check back once your import has finished.
Add your own instructions
Manual guidance is for things Ahoy can't learn on its own.
- Type your instructions in the box.
- Click Save.
Good guidance is specific. For example:
- My Calendly link is calendly.com/me – always offer it when scheduling.
- Sign off emails with "Thanks" and my first name only.
- Keep emails to customers under 150 words.
- Never suggest a meeting on a Friday afternoon.
Set guidance for the whole team (account admins)
Organization guidance applies to everyone's agent. Use it for rules the whole company follows.
For example: Always use British English; never discuss pricing without approval.
Only account admins can change it. Everyone else can read it.
Admins can also set guidance for one teammate. Go to Settings → Workspace → Team Members, open the menu on their row, and choose Edit agent guidance.
How Ahoy learns your writing style
Ahoy learns your tone from your email, and uses it when it drafts for you. There's no setting to edit your writing style directly.
If drafts don't sound like you:
- Add manual guidance. Describe the tone you want and anything to avoid. This is the quickest fix.
- Edit drafts before you approve them. You can always change a draft before it sends.
- Tell us. If the style is far off, contact the Ahoy team and we can have Ahoy relearn it.
Good to know
- Guidance is yours. Your manual guidance and what Ahoy has learned about you apply to your own agent, not your teammates'.
- Guidance isn't auto-approval. Guidance shapes what Ahoy drafts and suggests. To choose what runs without asking you, see Choose what Ahoy does on its own.
