    Connecting Your Integrations

    Ahoy works best when it’s plugged into the tools you already use. Connect your inbox, calendar, meeting recorder, and a few others, and your CRM starts filling itself in as you work – no manual logging required.

    This guide covers every integration you can turn on: what it does, who can connect it, and the first thing to do once it’s live. You’ll find them all under Settings, grouped the same way they are here.

    Inbox & Calendar

    Gmail and Outlook connect the same way, from the same screen, and each brings calendar sync along with it. For most teams, this is the first thing to set up.


    Gmail
    Any team member

    Syncs your email and contacts into the CRM timeline. One connection also covers Google Calendar and Google Meet – there’s no separate step for either.


    SETUP

    • Go to Settings → Email & Calendar.
    • Click Connect on the Gmail card (or Connect another account if one is already linked).
    • Choose whether synced data defaults to private or shared with your team. You’re asked this before Google’s sign-in screen appears, and it applies to everything this account syncs.
    • Sign in with Google and approve the requested permissions.


    BEFORE YOU CONNECT

    • Nothing. This is a core capability – always on, and connected per person rather than per organization.


    GETTING STARTED

    • There’s nothing else to do – sync starts right away. Watch the import progress indicator on the same card while your past mail and contacts backfill.


    Outlook / Microsoft 365

    Any team member

    The Microsoft equivalent of the Gmail connection – same page, same visibility choice, same result.

    SETUP

    • Go to Settings → Email & Calendar.
    • Click Connect Outlook.
    • Choose the private or shared visibility default, the same as Gmail.
    • Sign in with a Microsoft 365 account and approve access.

    BEFORE YOU CONNECT

    • A Microsoft 365 account. If Connect Outlook is greyed out with a “not configured” message, there’s a setup step on our side before your organization can connect – reach out to the Ahoy team rather than retrying.

    GETTING STARTED

    • Sync starts automatically here too. To force a refresh rather than wait for the background sync, use Sync now on the same card.

    Google Calendar

    Any team member

    Not a separate connection – it comes with the Gmail sign-in above.

    SETUP

    • Connect Gmail (above). Calendar access is included in the same permission grant.
    • On the connected account’s card, use the same private/shared switch to choose whether calendar events sync.

    BEFORE YOU CONNECT

    • A connected Google Workspace account.

    GETTING STARTED

    • Meetings start appearing on your CRM records automatically. This connection is also what feeds Google Meet transcript capture, covered under Meetings below.

    Meetings

    Slack and the notetaker integrations both exist to get meeting intelligence into your CRM automatically – Slack for posting summaries to a channel, the note-takers for capturing the summary in the first place.

    Slack

    Admin only

    Connects your whole Slack workspace so meeting summaries can post there automatically as they’re captured.

    SETUP

    • Go to Settings → Slack. This section is visible to account admins only.
    • Click Connect – you’re redirected to Slack to approve the workspace-level install.
    • Approve the requested permissions in Slack, and you’ll land back in Ahoy connected.

    BEFORE YOU CONNECT

    • You’ll need to be an Ahoy account admin with permission to install apps into your Slack workspace.

    GETTING STARTED

    • There’s no separate “turn it on” step – once the workspace is connected, meeting summaries from supported providers start posting automatically.

    Meeting summaries

    Any team member

    One settings page, four sources. Each notetaker connects independently, so you only set up the ones you actually use.

    Fathom

    SETUP

    • Go to Settings → Meeting Summaries and click Connect on the Fathom card.
    • Authorize the connection on Fathom, then head back to Ahoy.

    BEFORE YOU CONNECT

    • A Fathom account with its own calendar integration already connected.
    • Auto-record turned on in Fathom.
    • You need to join the call for it to be captured.

    Fireflies

    SETUP

    • Go to Settings → Meeting Summaries and click Connect on the Fireflies card.
    • Authorize on Fireflies’ side, then return to Ahoy.

    BEFORE YOU CONNECT

    • Fireflies set to record and transcribe your meetings.

    Granola

    SETUP

    • Go to Settings → Meeting Summaries and click Connect on the Granola card.
    • Authorize on Granola’s side, then return to Ahoy.

    BEFORE YOU CONNECT

    • The Granola desktop app running during your meetings for anything to sync.

    GOOD TO KNOW

    • You can share individual Granola meeting links straight into Slack without connecting this integration at all – handy if you only want to share the occasional meeting rather than sync everything.

    Google Meet

    SETUP

    • Nothing to connect here – it reuses your Gmail / Google Workspace connection above.
    • The meeting host starts transcription manually in Google Meet at the start of each call.

    BEFORE YOU CONNECT

    • Google Workspace Business Standard or higher, with transcripts enabled by your Workspace admin. This is a Google-side setting, not an Ahoy one. Transcription works in the desktop browser only.

    GOOD TO KNOW

    • Google Calendar’s own “Transcribe the meeting” toggle (under a meeting’s video-call options) can turn this on automatically, so the host doesn’t have to remember to start it each time.

    Growth & Data

    These four are less about connecting an account and more about turning on a capability – each has its own setup shape.

    Scheduling / Booking

    Any team member

    Lets prospects book meetings straight onto your calendar through a shareable link. Setup happens in two places: your default settings, then the individual booking links.

    SETUP

    • Go to Settings → Scheduling and set your working hours, buffers, notice period, how far ahead people can book, and default meeting location. These become the defaults for booking links you create from here on – they don’t change any links that already exist.
    • Go to the Booking Links page in the nav and click Create to define a bookable meeting (name, duration, description).
    • Click Copy link on that entry to get the public booking URL.

    BEFORE YOU CONNECT

    • A connected calendar (Gmail or Outlook) so your availability reflects real bookings.

    GETTING STARTED

    • Share the copied link anywhere – an email signature, a web page – and bookings flow straight onto your calendar.

    Webhooks (inbound)

    Any team member

    Lets an outside system push data into your CRM directly. There’s a generic webhook for any system, plus a purpose-built path for the Kondo LinkedIn tool.

    SETUP – GENERIC WEBHOOK

    • Go to Settings → Webhooks and click Create API Key. Name it something you’ll recognize – the key is shown only once.
    • Have the sending system POST JSON to your organization’s webhook endpoint, with the key in an X-Api-Key or Authorization: Api-Key header.

    SETUP – KONDO

    • On the same page, click Connect under Kondo – this generates a labeled API key automatically.
    • Copy the webhook URL shown and paste it into Kondo’s own settings.

    BEFORE YOU CONNECT

    • No special Ahoy permission needed – just someone on your side who can configure outbound webhooks in your own system.

    GETTING STARTED

    • The payload can match a contact by email or LinkedIn URL, log a timeline event, and write properties. The full field-level format is documented right on the settings page once a key exists.

    MCP – OAuth for AI agents

    Any team member

    Lets an external AI tool – Claude, ChatGPT, Cursor – connect to your organization’s Ahoy data as a live tool, authorized per person.

    SETUP

    • Go to Settings → MCP and copy your organization’s MCP server URL from the page.
    • In your AI client, add it as a custom connector. The page has exact click-paths for Claude.ai (Customize → Connectors → Add custom connector) and Claude Desktop (Settings → Connectors → Add custom connector).
    • The client redirects to Ahoy to sign in and authorize. Once approved, it shows up under Active OAuth Tokens on the same page.

    BEFORE YOU CONNECT

    • Nothing beyond a normal Ahoy login – access is scoped to whatever you can already see. On Claude Team or Enterprise plans, an Owner has to add the connector org-wide before individual members can authorize it.

    GETTING STARTED

    • Ask your AI client to look something up in Ahoy – a contact, a deal, recent activity – to confirm the connection works. You can revoke access anytime from the same token list.

    Websites & form tracking

    Admin only

    Turns website visits and form fills into CRM activity – a tracking snippet plus form capture, provisioned as a set of automations.

    SETUP

    • Go to Settings → Websites and click Set up. This provisions three automations: page tracking, form creation, and form submission processing.
    • Open the page tracking automation’s detail panel to get the embeddable script snippet, and add it to your site.
    • Each automation can be toggled on or off independently from the same list once created.

    BEFORE YOU CONNECT

    • An account admin to run the initial setup, and someone who can edit your website to install the snippet.

    GETTING STARTED

    • Once the snippet is live, submitted forms show up as records in Ahoy automatically – no further configuration needed to start seeing data.
