    Who can see what in Ahoy

    How sharing works for records, emails, calendar events, and notes.

    Records in Ahoy are shared with your team. The emails and meetings behind them are shared only if their owner chooses. That's why two people can open the same deal and see different timelines.

    Share your emails and calendar

    Each person chooses for their own account.

    1. Go to Settings → Account → Email & Calendar.
    2. On your connected account, turn on Share emails with your team.
    3. Turn on Share calendar events with your team.
      Both settings also apply to what's already synced. Turning one on brings your past emails or events into view for your team. Turning one off hides them again.

    If you've connected more than one account, check each one.

    What stays private

    Events you've marked as private in Google Calendar or Outlook aren't shared, even with calendar sharing on.

    After you reconnect an account

    When you disconnect an account, we set its data to private. When you reconnect, Ahoy asks whether to share it with your team again.

    Why a teammate sees more than you

    If a teammate can see emails on a record and you can't, those emails are theirs and aren't shared. Ask them to turn on Share emails with your team.

    This is the most common reason an email looks missing.

    Notes

    Notes are visible to your team by default. Each note has a toggle to switch it between Shared and Private.

    Imported records

    When you import a file, you choose the visibility for every record in it.

    • Public (everyone in org).
    • Private (importer and owner).

    View-only seats

    A viewer can read the records your team shares, but can't change them. See Invite your team, roles, and view-only access.

    Check what your team sees on your calendar

    The Calendar page shows a line under its heading telling you whether your events are visible to your team, with a link to change it.
