Why isn't an email, contact, or meeting showing up?

Seven checks to find out why something is missing from Ahoy.

Ahoy builds your CRM from your email and calendar, so a gap usually has one of a few causes. Work through these checks in order.

    1. Is your import still running?

After you connect an account, Ahoy imports your history in the background. Home shows an import status area until it finishes. Give it time before checking anything else.

    2. Is the account still connected?

Go to Settings → Account → Email & Calendar and look at the account's card. If it says Authentication expired or Some sync features are paused, reconnect the account.

    3. Was the email filtered out?

Ahoy leaves out high-volume, low-signal mail. For Gmail, that means messages in these places:

    • Promotions
    • Social
    • Updates
    • Spam

A message in one of those categories is still brought in if it's a reply in a conversation, or if Gmail has marked it Important.

This matters most for replies sent through an outreach or newsletter tool. Gmail can file those under Updates or Promotions, and the reply never reaches Ahoy. Moving the message to your primary inbox, or marking it Important, helps Gmail sort that sender correctly in future.

    4. Is an address filter on?

    1. Go to Settings → Account → Email & Calendar.
    2. Open Advanced settings on the account.
    3. 3. Check Filter emails by address.

If an address is selected, only emails sent to that address sync. Choose All email addresses to sync everything.

    5. Can a teammate see it, but not you?

This is a sharing setting, not a missing record. Each person chooses whether their own emails and calendar events are shared.

    • Emails. The owner needs Share emails with your team turned on.
    • Calendar events. The owner needs Share calendar events with your team turned on.
    • Private events. Events marked private in Google Calendar or Outlook stay private in Ahoy.

Both settings are in Settings → Account → Email & Calendar, and both apply to emails and events that have already synced.

    6. Is the contact hidden?

Contacts Ahoy creates on its own stay hidden until you engage with them. Searching for the contact, clicking them from an email, or editing their record makes them visible.

    7. Is it a meeting summary?

Summaries depend on your recording source. See Meeting summaries for what each source needs.
