Which emails Ahoy brings in
What's included, what's left out, and the settings you control.
Ahoy doesn't copy your whole inbox. It brings in the mail that's useful for your CRM and leaves out the noise. This article explains what's included, what's skipped, and the settings you control.
What Ahoy brings in
Ahoy syncs email from each account you connect under Settings → Account → Email & Calendar. Emails are added to the timeline of the contacts, companies, and deals they belong to.
What Ahoy leaves out
High-volume, low-signal mail is skipped when it's imported. For Gmail, that's any message in these places:
| Gmail category | Skipped |
|---|---|
| Promotions | Yes |
| Social | Yes |
| Updates | Yes |
| Spam | Yes |
The exceptions
A message in one of those categories is still brought in when either of these is true:
- It's a reply in a conversation.
- Gmail has marked it Important.
So if a customer reply is missing, check where Gmail filed it. Replies sent through an outreach or newsletter tool are the usual cause.
Settings you control
Sync only one address
If your account receives mail for more than one address, you can limit the sync to one of them.
- Go to Settings → Account → Email & Calendar.
- Open Advanced settings on the account.
- Under Filter emails by address, choose the address.
Only emails sent to that address sync. Choose All email addresses to go back.
Keep suggestions to your pipelines
By default, Ahoy's suggestions focus on your pipeline work. To also get suggestions for other mail, like investor updates or inbound job applications:
- Go to Settings → AI → AI Actions.
- Under Suggestions, turn on Suggest work outside your pipelines.
These are always a suggestion, never automatic, and they stay private to you.
Remove what's already synced
After you disconnect an account, its card in Settings → Account → Email & Calendar shows Delete synced data. Choose synced emails, synced calendar events, or both. This permanently removes them from Ahoy and can't be undone.
Good to know
- Contacts are created selectively too. Not everyone you email becomes a visible contact. See Contacts and companies.
- Sharing is separate. What Ahoy brings in and who can see it are different settings. See Who can see what in Ahoy.
